Presenters' FAQ

The following provides information about PEARC24 Presenter Needs, including technical session rooms, posters, printing, and tutorial and workshop evaluations. Please contact [email protected] with any additional questions about items not listed.

Technology in Technical Session Room

For presenters, PEARC24 is BYOL—Bring Your Own Laptop (and adapter). Presentation rooms for the Technical Program will have a standard audio-visual configuration to include a projector, screen, and microphone. Presenters are also expected to bring any connectors needed to connect their own laptop with the regular sized male HDMI cables connected to the projectors.

 

Presenters are expected to arrive at their session room 15 minutes before the start of the first session to test audio and video. Most session rooms are also open during breakfast, lunch, and breaks for testing.  Presenters should not rely exclusively on the conference center internet, and are strongly encouraged to have back-up copies of their presentation and all auxiliary resources on their personal laptops.

 

Room Volunteers will be provided with contact information for our onsite staff in case there is an issue in the room so please communicate with your Volunteer should a need arise.

 

Two minutes before the end of the Q&A session, presenters should disconnect their laptop from the podium to allow the next presenter to begin connecting their laptop.

Poster Presenters

Poster boards are 96″w x 48″h and will be utilized as single sided for this event. Each poster will have their own space. Posters should typically, no larger than 46″w x 42″h to allow for plenty of space for observers to stand and interact with you around your poster.

 

Posters may be hung beginning at 2PM on Wednesday afternoon, and can remove the posters any time after the reception until 8PM. Fasteners will be provided.

Poster Printing

There is no official printing service for PEARC24 and each presenter is responsible for printing and transporting their own poster. There are a number of online services that can be used and shipped directly to the hotel at which you are staying. Additionally, services within the Providence area include:

Printing, Shipping, and Receiving Services

If you need to ship something for your use at PEARC24, please reach out to the hotel you are staying at to find out when packages can arrive, the shipping address and how to retrieve those shipments.  You will need to bring your items to the Rhode Island Convention Center and remove them when you are leaving PEARC24.  PEARC24 does NOT have overnight security. Any “walkable” items you bring with you should leave with you whenever you leave an area as PEARC24 cannot be responsible for items left behind.

Visualization Showcase Presenters

We will have large format video displays for the visualization showcase. These monitors have an aspect ratio of 16:9 and have intelligent upscaling. The monitors do not have audio. Presenters will be expected to have pre-recorded videos, the ideal configuration will have presenters connecting their own laptop to the monitor to show off their demonstration or video for the showcase. The monitors accept HDMI, DP, DVI, and VGA inputs.
