This guidance is for workshops and co-located events open to registered attendees as part of the official PEARC24 conference schedule; such events are permitted to be closed-door/by-invitation-only project meetings that may need to convene during the conference.
- All organizers, presenters, and participants of workshops and/or co-located events must be registered attendees of PEARC24.
- All organizers, presenters, and participants of workshops and/or co-located events are subject to the ACM Code of Ethics and Policy Against Harassment.
- Organizers of workshops must submit their event proposal via the published submission portal prior to the workshop proposal submission deadline as stated in the annual Call for Participation. (For PEARC24, the workshop submission deadline is February 15th, 2024.)
- Organizers of co-located events, whether open to all attendees or closed by-invitation-only sessions, must submit their event proposal via the published submission portal EasyChair no later than the short paper/poster proposal submission deadline as stated in the annual Call for Participation. (For PEARC24, the co-located event submission deadline is April 23rd, 2024.)
- Each co-located event will be reviewed for acceptance based on how closely its mission aligns with the mission of the PEARC conference series, which aims to provide a forum for discussing challenges, opportunities, and solutions among the broad range of participants in the research computing community.
- Co-located events may request the use of unallocated space under contract by PEARC24.
- Any unallocated venue space already under contract by PEARC24 will be allocated based on the event’s alignment with the PEARC conference mission, space availability, and space needs.
- If space is allocated for use by a co-located event, all additional expenses incurred are the responsibility of the event organizer and must be procured and contracted separately with the venue.
- Expenses that may be incurred include, but are not limited to, audiovisual equipment and support, special networking equipment and support, food and beverage (over and above what is provided to all conferees), office supplies (e.g., flip boards, easels), printing services, shipping and receiving services, etc.
- If space is not available under the existing PEARC24 contract, event organizers must make separate contractual arrangements with the conference venue and/or another venue.
- Only accepted workshops and approved co-located events may use any PEARC name, logo, and/or other branding assets.
- Organizers of workshops and/or co-located events may not seek external funding from established PEARC exhibitors.
- Organizers of workshops and/or co-located events who intend to seek external funding must do so in coordination with the PEARC exhibitor committee.
The PEARC24 Co-Located event submission deadline is April 23rd, 2023
